1. Who we are

ClevrFox is a trading name of Alderidge Fusion Limited, a company registered in Ireland, company number 816930 (“we” or “us”). You can contact us at [email protected]. By using ClevrFox, you agree to these terms.

2. What ClevrFox is

ClevrFox is a record-keeping app for sole traders. It helps you capture receipts, bills and journeys, keep them in order and send them to your accountant or bookkeeper.

ClevrFox is not tax, accounting or legal advice. It does not decide whether a cost is allowable, does not calculate the tax you owe and does not file anything with any tax authority. Those decisions remain with you and your accountant.

ClevrFox reads receipts automatically, and that reading can be wrong, especially on faded or damaged receipts. Check each record before you save it. You are responsible for the records you keep and send.

3. Your records

Your records are stored on your iPhone, not by us. We cannot see them, and we cannot recover them if your phone is lost, broken or reset, or if the app is deleted. Use Back up everything regularly and keep the backup somewhere safe. ClevrFox can remind you to back up, but keeping a backup is your responsibility.

You keep all rights in your records. We claim no rights over them.

4. Free use

You can use every feature of ClevrFox free for up to 10 business receipt scans in each calendar month. Care receipts do not count towards the 10. Sending your records to your accountant is never locked, whether or not you subscribe.

5. Subscriptions

• A subscription gives unlimited scans for as long as it is active. The price is shown in the App Store before you buy, including VAT.
• Subscriptions are sold and charged by Apple through your Apple account, under Apple’s terms.
• A subscription renews automatically at the end of each period unless you cancel it at least 24 hours before the renewal date. You can cancel in the Settings app on your iPhone: tap your name, then Subscriptions.
• When you cancel, the subscription stays active until the end of the period you have paid for. Your records stay on your phone.
• Refunds are handled by Apple, through reportaproblem.apple.com.
• If we change the price, Apple will tell you before the change applies to you, and you can cancel before it does.

Nothing in these terms affects your legal rights as a consumer, where they apply.

6. Accountant setup codes and partner practices

If you scan a setup code from your accountant or bookkeeper, ClevrFox saves their details on your phone and uses them when you send your records. The details come from the practice. If they are wrong, ask the practice for a new code.

Some practices are ClevrFox partner practices. If you subscribe after scanning a partner practice’s code, we pay that practice €5 for each full year your subscription stays active. This does not change what you pay. The practice should tell you about this arrangement, and you can ask it to pay the fee to you. Settings in ClevrFox shows which practice introduced you.

7. Care costs

Care costs is available in Ireland. Any information it gives about tax relief is general information, not advice about your own position. Check with your accountant or Revenue if you are unsure what you can claim.

8. Using ClevrFox properly

Use ClevrFox only for lawful purposes and for your own records, or for records you are entitled to keep for someone else. Do not try to copy, alter or interfere with the app.

9. Changes to the app

We update ClevrFox to fix problems and add features, and we may change or remove features. The spreadsheet columns, file layout and receipt numbering that accountants rely on are versioned and do not change without notice.

10. Our responsibility to you

We provide ClevrFox with reasonable care and skill. We are not responsible for:

• tax or accounting outcomes, including any decision about what is allowable;
• records lost because they were not backed up;
• mistakes in automatically read details that were saved without being checked;
• losses that were not reasonably foreseeable, or loss of business or profit.

Where the law allows us to limit our responsibility, our total liability to you is limited to the amount you paid for ClevrFox in the 12 months before the problem arose. Nothing in these terms limits liability that cannot be limited by law.

11. Apple

Apple’s Standard Licensed Application End User Licence Agreement also applies to your use of ClevrFox. These terms are between you and us, not Apple. Apple is not responsible for ClevrFox or for supporting it. If these terms and Apple’s agreement conflict, these terms apply to the extent the law allows.

12. Ending

You can stop using ClevrFox at any time by cancelling any subscription and deleting the app. If you delete the app, the records on your phone are deleted too, so make a backup first if you want to keep them.

13. Law

These terms are governed by the laws of Ireland, and the Irish courts have jurisdiction. If you live in the UK, you also keep the protection of the consumer laws where you live, and you can bring a claim in your local courts.

14. Changes to these terms

We may update these terms. We will change the date at the top and, for any change that matters to you, tell you in the app before it applies.
