Privacy policy
ClevrFox is built so that your records stay on your phone. This page explains, in plain terms, what that means and the few things we do receive.
Last updated 27 October 2026
1. Who we are
ClevrFox is a trading name of Alderidge Fusion Limited, a company registered in Ireland, company number 816930. Alderidge Fusion Limited is the controller of the personal data described in this policy. You can contact us at [email protected].
2. The short version
- ClevrFox has no accounts. We do not ask for your name, email address or phone number to use the app.
- Your receipts, photos, journeys, bills and settings are stored on your iPhone. We have no copy of them.
- Receipts are read by your iPhone itself. They are not sent anywhere to be processed.
- Nothing leaves your phone until you choose to send it, and you choose where it goes.
- The app has no advertising, no analytics and no tracking.
- If you subscribe, Apple tells us about the purchase. That notice does not include your name, email address or any of your records.
3. The app on your phone
What is stored, and where
Everything you put into ClevrFox, including receipt photos and PDF bills, the details read from them, journeys, regular bills, assets, care receipts, your accountant’s details and your settings, is stored in ClevrFox’s own storage on your iPhone. Your iPhone’s own device backup may include it, under Apple’s terms. If you delete the app, these records are deleted from the phone.
Reading receipts
ClevrFox reads receipts and bills with text recognition that runs on your iPhone. The images are not uploaded to us or to anyone else to be read.
Permissions the app asks for
| Permission | What it is used for |
|---|---|
| Camera | Photographing receipts and scanning an accountant’s setup code. |
| Photos | Adding a receipt from a photo you already have. |
| Microphone and speech recognition | Saying a cost out loud. This uses the speech recognition built into iOS. Depending on your iPhone and its settings, Apple may process the audio to turn it into text, under Apple’s own privacy policy. ClevrFox does not receive or keep the audio. |
| Notifications | Reminders you switch on, such as the reminder to send your records. These are scheduled on your phone. We do not send them and do not know whether they are switched on. |
| Face ID | The optional app lock. Face ID is handled entirely by iOS. ClevrFox never sees your face data. |
ClevrFox does not use your location, contacts, calendar or any form of tracking.
Care costs
If you use Care costs, you may record details of nursing home or medical bills, which can relate to someone’s health. These records are kept on your phone in the same way as everything else, separately from your business records. We do not receive them.
4. Sending and backing up
When you tap Send to accountant, ClevrFox prepares a file on your phone and opens Mail, or the share sheet if you choose another way. You decide who receives it. Once sent, the file is held by the person you sent it to and by the email or file service you used, under their own terms.
Back up everything creates one file on your phone with all your records. You choose where to save it, for example iCloud Drive or the Files app. That copy is held by the service you choose, not by us.
5. Subscriptions
Payments are made through your Apple account and handled by Apple. We do not receive your card details.
When you subscribe, renew, cancel or receive a refund, Apple sends us a notice about the transaction. The notice contains a transaction number, the product, the dates, the country of the App Store and, if you scanned a partner practice’s setup code before subscribing, that practice’s ClevrFox practice number. It does not contain your name, email address, Apple ID or anything from your records.
We use these notices to keep accurate company accounts and to pay partner practices their yearly fee. The legal basis is our legitimate interest in running the business and meeting our accounting obligations. The notices are stored with our database provider, Supabase, in a data centre in Ireland, and kept for six years after the end of the year they relate to, because company accounting records must be kept for that long.
6. Accountant setup codes
A setup code contains your accountant’s practice name, the email address for files, the country, the export format, their account codes and, for partner practices, a practice number. When you scan a code, these details are saved on your phone. Scanning a code does not send anything to us or to your accountant.
If you scanned a partner practice’s code before subscribing, the practice number is attached to the purchase, as described above. Settings in ClevrFox shows which practice introduced you. That practice receives a yearly statement showing how many paid years carry its number. It does not receive your name or any details about you from us.
7. Partner practices
If you are an accountant or bookkeeper who joins as a partner practice, or asks to be listed in Find a bookkeeper, we hold your practice name, address, contact name, phone number, email address, the details you choose to publish, and the invoices and payment details needed to pay your fee. We use them to run the partner arrangement and the listing, on the basis of our agreement with you. Published listing details are visible to anyone. We keep these records while you are a partner and for six years after, for our accounts.
8. Emailing us
If you email [email protected], we receive your email address and whatever you write. We use it only to answer you. Our email is provided by Microsoft 365. We keep support emails for up to two years, unless they relate to a payment or a complaint, in which case we keep them for six years.
9. This website
clevrfox.ie does not use cookies, analytics or advertising. Our hosting provider, LetsHost, keeps standard server logs, which include the IP address of each visitor, for security. The photographs on the website are loaded from Pexels, which receives your IP address when it sends them, in the same way as any website you visit. The setup code page for accountants works entirely in your browser and sends nothing to us.
10. Your rights
You have the right to ask for a copy of personal data we hold about you, to have it corrected or deleted, to object to how we use it and to restrict its use. Because the app keeps your records on your phone, you already hold that data and can delete it at any time by deleting it in the app or deleting the app.
For subscription notices, we cannot identify you from our records without your help. If you want us to find a transaction, send us the order number from Apple’s email receipt.
If you are unhappy with how we have handled your data, please tell us first. You can also complain to the Data Protection Commission in Ireland (dataprotection.ie) or, in the UK, the Information Commissioner’s Office (ico.org.uk).
ClevrFox is made for adults running a business. It is not intended for children.
11. Changes and contact
If we change what we collect, we will update this page and the date at the top before the change takes effect. For any question about privacy, email [email protected].
